2025 FOOD VENDOR GUIDELINES

Vendor Meeting: MANDATORY for all vendors! 11:00 am at the main stage, on the Park Lawn.

SALES DATE/TIMES: Thursday, July 4, 2025, 12 PM-10 PM

Check-in will take place at the Bus turnaround. Please check in with the flagger for instructions on loading. Please arrive promptly at your scheduled load-in time.

LOCATION & DIRECTIONS: Take I-70 west to the main Avon exit (167). Enter the roundabout going south through town. Continue through 3 roundabouts, exiting and heading west on Highway 6. Turn left on Praeter Rd. Drive up the hill to Village Road. Turn right. Continue up Village Road to Avondale Lane. You will see the bus turnaround on the left. Please wait for the load-in flagger to direct you to the Bus turnaround for load-in. MAP and DIRECTIONS. 

ITEMS YOU NEED TO PROVIDE AT CHECK-IN: Evidence of your appropriate fire extinguisher, Colorado state sales tax license, and Certificate of insurance naming Beaver Creek Resort Company as additional insured.

ITEMS WE WILL PROVIDE YOU AT CHECK-IN: Vendor Welcome Packet  - Schedule of Events, local & State Sales tax Information, and a map of grounds & booth space location.

ELECTRICITY: Please bring the power cord you indicated on your application. The power supply you will be provided will be based on your application. All 30—and 50-amp outlets will be twist-lock exterior receptacles. We request that electrical cords be outdoor rated and at least 100 feet long. 

WATER ACCESS: If direct water access is requested on your application, please bring your own water hoses and splitter. 

FIRE EXTINGUISHERS: Each food vendor cooking or warming food must have at least one 2A-10-BC fire extinguisher (a five5-lb. dry chemical) in their booth. Please show your fire extinguishers to the load-in manager during set-up. 

TEAR-DOWN: Vendors will be allowed to tear down after the fireworks. We will have Toros available to assist.

PARKING: **Parking is restricted, so please abide by these loading, packing and unloading rules**

VENDOR PARKING - Located in the Elk Parking Lot at the base of the Beaver Creek. There will be a shuttle every 15 minutes to bring you to the village. It is recommended that food vendors have a minimum of 2 persons working your booth so that you can move your car to the lower lots.

Please note that vendor parking is not available at the village. We reserve Ford Hall and Villa Montane parking garages for our guests. 

LOAD-IN: Once checked in, you will have 30 minutes to unload and move your vehicle. This is to allow other vendors to load into their spaces. All vehicles MUST be moved out of the load-in area before 9:30 a.m. when the Centennial lift begins service for the day.

GENERAL RULES: 

All vendors must have a current TFE permit and Food Vendor Operations Plan on file with the Eagle County Department of Health. For assistance, please contact Eagle County at 970-328-8755 or [email protected].  

All BCRC events are Zero-Waste Events, supporting Eagle County’s goal of 100% waste diversion by 2030. Serviceware needs to be compostable or recyclable. Please do not use glass serviceware or items sold in glass during the event. Thank you.

Vendors must keep their booth areas clean and attractive at all times. BCRC can provide a 10x10 tent and two tables with covers; please bring anything else you need for your booth. Table coverings must be floor-length to allow for under-table storage. 

The event is held outside, so suitable protection from the sun, wind, and rain is suggested.

There are no refunds for the weather.

One other attendant at the booth is recommended to assist with unloading, set-up, and strike.

LIABILITY REGULATIONS:

Pets - no pets are allowed at the event. No exceptions.

Refunds—No refunds will be given in case of rain or if the vendor is expelled for not following the event's rules and regulations.

Absolutely no refunds are given after June 1, 2024, for cancellation.

NSF check fees are an additional $25 to cover bank fees.

Taxes - VENDORS are required to collect 9.75% sales tax, 1.5% for Eagle County,  2.9% for State, and 5.35% for Beaver Creek Civic Assessments. A list of all vendors will be submitted to Eagle County and the State of Colorado for tax collection purposes. We will provide tax collection information and the website where you can submit following the event. Liability - VENDOR shall indemnify and hold Beaver Creek Resort Company, Vail Resorts, and BCRC staff and volunteers harmless from any claim or cause of action arising out of or in connection with the acts or omissions of VENDOR under this Agreement and shall reimburse Beaver Creek Resort Company for any costs, including, but not limited to, reasonable attorney’s fees incurred in defense against any such claim. 

Loss or Theft—All work is displayed/sold at the risk of the VENDOR. The event organizers are not responsible for loss, theft, or damage to any artwork, display facilities, or person.

Resolution of Disputes—In the event of a dispute arising out of or related to this Agreement, the parties agree to submit it to mediation and/or arbitration as a prerequisite to legal action. If arbitration or legal action is commenced, the prevailing party shall be rewarded reasonable attorneys’ fees and costs, including arbitration fees incurred due to the dispute.

Agreement Modifications—No prior or present Agreements or representations shall be binding upon any of the parties hereto unless incorporated in the Agreement. Similarly, no modifications or changes in the Agreement shall be valid or binding upon the parties unless in writing and executed by the parties to be bound thereto.

Violations - VENDOR acknowledges that a breach of any of the terms of this Agreement may result in the termination of this Agreement and the preclusion of participation from Beaver Creek Resort Company without a refund of fees.

Governing Laws - This Agreement shall be governed by the laws of the State of Colorado and the health, sanitation, and fire regulations of Beaver Creek Resort Company and Eagle County.

Any participant not observing event rules will be subject to removal from the event, with all fees forfeited.

Complaint Procedure: If a vendor has any complaints during the event, please submit the issue in writing along with the date and time to the Event Director. BCRC staff will convene within 2 hours of receiving the submission and promptly provide a resolution after deliberation.

Booth assignment is final and up to the sole discretion of BCRC.
